Organize your work

Timebook has several features that will help you manage your work by filtering relevant items and organizing them in your preferred way. With these features, you can manage large collections of items and big data sets, making them more meaningful to you and your work.

You can access all the features presented in this article using the [Manage view] button.

This button is found in all Timebook modules that allow you to manage collections of items. For example, you can find it in [Work Items], [Goals], or [Inbox].


Group items

Grouping and sorting items makes it easier to focus on specific sets without being overwhelmed by a long list. You can quickly see related items together, which helps you understand the workload and progress within a particular area. For example, when Work Items are grouped by due dates or priority, it’s easier to identify which of them need immediate attention and which can be scheduled for later.

To group items in Timebook:

  1. Press the [Manage view] button in the top-right corner of the working area.

  2. Find the [Group by] option and use the dropdown menu next to it to select a parameter to group your items by.

  3. You can group by any of the items' properties. For example, you might want to group items by their [Assignee], [Priority] or the [List] they belong to. For more information on available options, see Properties

You can also use the [Sort by] feature to organize your items further. You will find it right next to the [Group by] option.

To sort your items, open the relevant dropdown and select the property you want to arrange your items by within the defined groups. For example, you might want to group items by [Assignee] first and then sort them by [Due date] to get an overview of all Team members with their most urgent tasks shown at the top.

Certain layouts, like [Tree] or [Story Map], do not allow grouping as it simply doesn't match the purpose of these layouts. For more information on available layout types, see Layouts


Slice views

Slicing allows for a more granular organization of items. It is, in fact, a secondary grouping option with which you can break down a primary group into smaller, more manageable segments. This gives you a deeper insight into specific aspects that might not be visible when grouped only by a primary property.

To use slicing in Timebook:

  1. Press the [Manage view] button in the top-right corner of the working area.

  2. Find the [Group by] option and use the dropdown menu next to it to select a parameter to group your items by. This creates "columns" in your view, as the information about groups is presented vertically.

  3. Next, find the [Slice by] option and use the dropdown menu next to it to select a parameter to slice your items by. This adds "rows" to your view, breaking down the information in columns into smaller segments.

Slicing is only available with the [Board] layout where you can see your items grouped in columns and sliced into rows.


Filter data

Filtering allows you to narrow down large sets of items to only the ones that are relevant to you at the moment. This reduces information overload and enables you to focus on the work that needs your immediate attention. Use filters to customize your view of the data according to your role, preferences, or current priorities.

To apply filters in Timebook:

  1. Press the [Manage view] button in the top-right corner of the working area.

  2. Find the [Add filter] button and press it to access a list of all available properties for your items.

  3. Select a property from the list, then choose the specific values you want to focus on. This will apply the filter to your current view, displaying only the items that meet the criteria you specified.

For example, if you want to see only the items with specific tags, use the [Tags] filter and select all the relevant ones. We will filter out any items that don't have those tags.

To quickly remove all filters and view the full set of items, use the [Clear filters] button in the [Manage view] section.
