Define your availability, share it with others, and let them book your time.

Share your free time slots

With 1-to-1 Meetings in Timebook, you don’t have to worry about finding the perfect time slot. You can have more scheduling flexibility and let others book your time.

Shared Availability is more than just an event. It allows you to create a Meeting just by defining your free time and sharing it with others.

You can create a Shared Availability in several ways in Timebook:

  • Use the dedicated [Share] button in the top-right corner above the Calendar grid. This option gives you the most flexibility, as you can use quick presets or select specific times to share with others. See the following section for step-by-step instructions.

  • Use the [+] button above the Calendar and select [Shared Availability]. This option only allows you to select specific times, as the quick presets are unavailable.

  • Press anywhere on the Calendar grid and select [Shared Availability]. This option automatically makes this selected time slot available for sharing with others, but you can still add more time slots.


Use Shared Availability presets

We have added presets to help you share your availability faster. For example, you can make your mornings or afternoons available for booking using just one button.

To use Shared Availability presets:

  1. Press [Share] in the top-right corner above the Calendar grid.

  2. Select one of the presets to define which parts of your free time you want to make available for booking. You can choose from [Mornings], [Afternoons], [Evenings], [Today] or [This week]. You can define the specific hours for some of these presets using Calendar preferences

  3. Choose one of the options next to the selected preset. You can either [Send email] to your guests or [Copy link] that your guest can use to book your time. You can also invite a person who doesn't have a Timebook account.

You can modify the selected preset by pressing the [Edit] button next to its name. This opens a new window where you can edit your availability directly on the Calendar.

Press anywhere on the grid to add a time slot, drag and drop a time slot to move it to a different day or time, or drag the edge of a time slot to extend or shorten it.

Shared Availability shows on the Calendar grid as a tile with a transparent background (until your guest books your time). Open the tile to edit the details or even delete your Shared Availability.

If you are not interested in any of the presets, you can use the [Specific time] option or create your Shared Availability directly on the Calendar grid.

This way, you can manually select the availability slots you want to share with others instead of using suggestions.


Book a Shared Availability slot

If you received a Shared Availability link (directly or in an email), you can select one of the suggested times, provide your contact details, and book a Meeting with the person who sent you the link.

To book a Shared Availability:

  1. Open the link you received from the person who created this Shared Availability.

  2. From the list of options, select a single time slot that is most suitable for you.

  3. On the following screen, provide your name and email address.

  4. Press [Schedule] to confirm. We will create a 1-to-1 Meeting with the person who sent you the link using the time and date you selected.

  5. You can open the [Add event to my calendar] dropdown and select your preferred calendar app.

Once your guest books a time slot and the Meeting is created, all the other time slots in your Shared Availability are released.

They will show as free in your Calendar.


Shared Availability options

You can use some of the when editing your Shared Availability. But there are also settings dedicated to Shared Availability only.

The following settings are specific to Shared Availability events:

[Meeting duration]

Define how much time your guest can book with you using this Shared Availability.

The duration is set to [1 hour] by default, but you can use the dropdown and select a different option.


[Expires after]

Use this dropdown to choose when your Shared Availability expires.

After that, your guest won’t be able to book your time within that availability.


[Availability]

This section is where you can define available time slots for your guest to book.

Press [Add] to create a new slot. Then, specify the date and the start and end times.

You can also use the Calendar grid on the left to create your availability slots.


Manage events on the grid

Standard event options
