Ask your guests about their preferred time and schedule a Meeting accordingly.

Polls in Timebook

Use the Poll feature to create several time options and invite your guests to vote. We will notify you whenever a guest submits their vote, but you can track the voting progress anytime.

Guests' votes are just suggestions; it is up to you to confirm the final date and time of your Meeting.

To create a Poll in the Calendar module:

  1. Press the [+] button in the top-right corner and select [Poll] from the list of events.

  2. Name your Poll. We will use this name for the resulting Meeting.

  3. Add guests. We will invite them to vote in your Poll.

  4. Add time options to your Poll by pressing anywhere on the grid.

  5. Use available settings to customize the Poll. We explain the Poll-specific options at the end of this article.

  6. Press [Send] to save your Poll and invite your guests to vote.

You can also create a Poll by pressing anywhere on the Calendar grid.

The selected time becomes the first option for your guests to vote on, but you can edit or remove it later.

Vote in a Poll

If you received an invitation to a Poll in Timebook, you can vote for one or more options and send your response to the Poll's sender.

You can also use the [None of them work] option. It informs the sender of your preferences but doesn’t prevent them from scheduling the Meeting for these dates.

To respond to a Poll invitation:

  1. Open the notification with the Poll invitation.

  2. Check the boxes next to the date and time options that suit you.

  3. Optionally, reject all the suggested times with [None of them work].

  4. Press [Send your vote] to confirm your selection.

  5. Wait for the Poll's sender to resolve the voting and choose the Meeting time. See below for more information on how Polls are resolved.

You can track your guests' votes using the Calendar grid.

Press on one of the tiles representing your Poll. Check your guests' answers, and if you have enough information, pick one of the options and press [Schedule Meeting].

This ends the Poll and creates a new Meeting in your Calendar.

If all guests vote for the same time slot, the Poll automatically becomes a scheduled Meeting without host confirmation.

If guests all vote for multiple time slots, we will schedule the Meeting for the earliest date.


Poll options

You can use some of the when customizing your Polls. But there are also settings dedicated to Polls only.

The following settings are specific to Poll events:

[Meeting duration]

Define the length of the proposed Meeting. By default, it is set to [1 hour], but you can use the dropdown menu to select a different option.


[Availability]

This area is where you can add Poll options (suggested time slots) for your guests to vote.

Press [Add] to create an option and define its start and end times. A single Poll can have up to 5 options.

You can also use the Calendar grid on the left to create your Poll options.


[Expires after]

Use the dropdown to choose the number of days after which your Poll will expire.

Your guests won’t be able to vote after that.
